Description

The Company NEO INDUSTRY SA, an Agro-Industrial company specializing in the Transformation of Cocoa into semi-finished products, located in Kékem in the Haut-NKAM Department, Region West Cameroon, research for the development of its activities, a Management Assistant

MAIN MISSIONS:

The assistant performs administrative acts and day-to-day management. It collects, processes and facilitates the circulation of information necessary for the functioning of General Management and Services. It informs and guides internal and external contacts in their procedures. It takes charge, in conjunction with the General Management, of the material and logistical organization of administrative meetings.

 

ACTIVITIES:

 

Administrative management

 

Provide physical and telephone reception for internal and external contacts;

Make appointments;

Process postal and electronic mail as well as telephone calls;

Follow the circulation of the parapheurs;

Manage electronic agendas and control deadlines;

Enter, format various documents (letters, emails, reports, etc.), reproduce and distribute them;

Process and disseminate internal and external information;

Respond to requests for information from other departments and from outside;

Select and disseminate information internally and externally;

Organize meetings and their logistics, write records of decisions;

Take charge of the logistical aspects of the DGS (management of the stock of office equipment, photocopier, etc.);

Investigate files by verifying legal, administrative and financial regularity;

Organize, feed and update databases relating to administrative management;

Classify, pre-archive documents related to the archives service;

Feed dashboards, extract data from administrative information systems;

Participate in the organization of internal events

 Administrative and logistical organization of meetings

 

Manage the material and logistical organization of meetings;

Ensure the sending of agendas, invitations

Check the regularity of meetings: quorum…;

Participate in sessions, take notes, write up the minutes, minutes of meetings and distribute them;

Finalize the drafting of the minutes, the minutes of meetings when these are outsourced;

KNOWLEDGE:

 

Mastery of oral and written communication techniques;

General knowledge of administrative and secretarial management techniques;

Proficiency in WORD, Excel, POWERPOINT, and messaging tools

Bilingual (French and English)

OPERATIONAL SKILLS:

Very good writing and oral expression skills;

Rigor, sense of organization and work autonomy;

Sense of priorities; Sense of organization; Ability to take initiatives;

Ability to report on one's activity spontaneously and synthetically;

Ability to adapt to changes, to cope with emergency situations;

Know how to manage its activity within a calendar and a management framework with several directors;

Desired Profile (F):

You have at least three (03) years of professional experience in a similar position and you are able to express yourself in French and English.
