ADMINISTRATIVE CONTEXT:

These positions are to be filled in WFP warehouses. The incumbents report to the Warehouse Management Assistant or Assistant, or designate. They participate in all operations and warehousing activities with minimal supervision. They may be required to supervise other warehouse staff or train them on the job.

JOB OBJECTIVES:

Provide expert support and technical analysis to policy and program activities that effectively respond to assistance needs.

MAIN DUTIES AND RESPONSIBILITIES (indicative and non-exhaustive list):

Under the direct supervision of the LLIN Coordinator, the storekeeper will assume the following responsibilities:

  •  Efficiently ensure the receipt and dispatch of goods, including their transhipment (between trucks) and refer to approved official documents (waybills, delivery notes, etc.) so as to guarantee the accuracy of the physical count of goods, including checking that the quality meets established standards.
  • Establish, verify and validate warehousing and transport documents and manage confidential files as well as data on warehousing operations, in order to establish timely reports on the movement of goods in accordance with WFP requirements.
  • Perform daily stock reconciliations and checks upon closing the warehouse in support of internal control systems, in accordance with warehouse management requirements.
  • Perform daily inspections and report on the quantity and quality of goods received/sent and handled, promptly detect stock discrepancies or damage to stock and analyze the reasons for it, investigate shortages and produce reports on warehouse losses by recommending suitable solutions, in order to allow informed decision-making.
  • Apply appropriate protective measures for food and non-food items to ensure quality control using standard preventive measures in accordance with established WFP procedures and after authorization from the line manager.
  • Monitor the condition of the warehouse and the goods and take the appropriate measures, in order to help to plan the storage space in an efficient way and to store the goods in a methodical way according to the standards established by the WFP in this regard.
  • Provide guidance and on-the-job training to warehouse staff members to help them develop and be efficient.

OTHER SPECIFIC POSITION REQUIREMENTS:

  •  Plan, organize and control the activities of reception, storage, and dispatch of food and non-food items at the warehouse level in accordance with the procedures and practices in force at WFP.
  • Supervise all warehouse management activities (reception, storage, delivery, repackaging, inspection, cleaning and maintenance), prepare management documents, properly complete these documents and ensure their regular and consistent updates.
  • Ensure that food and non-food items are stored in good conditions in order to minimize losses, initiate spontaneous and periodic inventories to verify the quantity; ensure that the food is received and is in accordance with the quantity announced and is stored in good conditions.
  • Ensure proper use of warehouse management tools. Pass in the system all the necessary transactions in accordance with the operating principles of LESS. Ensure that safety and risk prevention measures exist.
  • Ensure good supervision of check-in activities and all the actors involved in the chain of store operations and take the necessary measures in time in the event of a malfunction.

QUALIFICATIONS AND EXPERIENCE REQUIRED:

Education:

  • High school diploma (BACC or "GCE A level").
  • A post-secondary certificate in Logistics management is desirable.

Experience wanted

  • Experience using databases and generating periodic reports.
  • Experience managing warehouses containing food and non-food items.
  • Experience in inventory management.
  • Invoice processing experience.

Languages:

  • Proficiency (Level C) in French.
  • Knowledge of English is an asset.
